NOTE: As your permit application is processed it will move through Case Tracker (Customer view) and into Consent Tracker (Road Manager view) before it is finalised or closed.


To find out how your permit application is progressing, you can check on the status of the permit application at any time using Case Tracker.

1. Navigate to the case via Case Tracker in the left hand menu.

2. Change the view by creating tabs, adding columns and using filters.


Checking Permit Status/ Progress

1. Navigate to the case via Case Tracker.

2. View the Case Status column in the table.

3. The colour of the status identifies who the permit application is currently 'with' in terms of action

4. If the permit is with the Road Manager, open the case to view the decisions tab to check on the consent progress with each Road Manager.

Closed – Migrate to Permit

Renewal case that is split into multiple cases

Closed – Duplicate

Case has been identified as a duplicate of an existing case

Closed – Withdrawn

Case withdrawn by the Customer or Regulator

Closed – Other

Case closed due to some other reason (see Case Notes for details)

Closed – Non-Responsive

Case closed due to non-responsive customer (No response for 14 days)

New

Entry state for all permit applications submitted through the Portal

Being Assessed

For all checks a Case Officer performs pre-consent issuance

Assigned

Case has been assigned to a Regulator User

Cust Info Req’d

Initial Assessment requires further information from the Customer

Delegated

Case has been delegated to a sub-delegated Regulator

Consent Requested

Case has had it’s consents issued to Road Managers

Closed – Expired Decision

When the Road Manager did not respond during the initial period and an additional 56 days

Closed – Under Notice

Initial assessment confirms the whole route is under notice

Finalising Outcome

Case has all consents in final states with one or more granted or refused states

Completed

The case is considered complete that will eventuate (Road Managers approved application)

Application Refused

Case has resulted in the application being refused (Road Managers refused application)

Closed – In Principle

When an in-principle application has been completed (PBS vehicles)

Closed - Superseded

When a case has been renewed or amended

Granted Notice

When consent is not required as the request can operate under notice

Granted Pre-Approval

The consent is granted using a pre-approval held by the NHVR and Road Manager

Closed – Withdrawn*

Case withdrawn by the Customer or Regulator

Closed – Duplicate*

Case has been identified as a duplicate of an existing case

Closed – Other*

Case closed due to some other reason (see Case Notes for details)

Assigned

Consent has it’s assigned value updated from the Case Tracker prior to assessment

Assessment

Road Manager indicates that they are performing their assessment (Start Assessment button)

Overdue Decision

Consent request has exceeded the approved SLA duration (>28 days or Extended Period)

Response Received: Under Review

Road Manager has responded to the consent

Consent Extended

Road Manager has been given an extension of time

Cust Info Req’d

Consent is with Customer for more information

Closed – Non-Responsive*

Case closed due to non-responsive customer (No response for 14 days)

Granted with Con’s

Regulator user reviews and accepts the consent as Granted with Conditions

Refused

Regulator user reviews and accepts the consent as Refused

Granted
