What is the new compliance module?
The Compliance Module in the NHVR Portal provides operators with an overall view of, and the ability to track issued defect notices across their fleets.
How do I get access to the Compliance Module?
You will be able to access the Compliance Module through your existing account. To be able to view the Compliance Module, you must be utilising the Accreditation Module and have completed the Registration linking service: https://app.intercom.com/a/apps/onqqjyg6/articles/articles/4834432/show
How do I add vehicles so that they are able to be viewed in the compliance module?
Operators are only able to view defect information for vehicles registered to them. This information is received from the National Exchange of Vehicle and Driver Information System (NEVDIS) via the relevant state or territory transport authority the vehicle is registered in.
If there is an error with the registration data, we recommend contacting the relevant state or territory transport authority responsible for the registration of the vehicle.
For sub-contractors, vehicles can be shared to other accounts via the ‘share’ function.
Why can I not see some defect notices?
The Compliance Module is only able to display information as it is received by the relevant NHVR systems. Reasons why you cannot see a defect may include:
it is new and has not yet been refreshed in the data
it is historical in nature and not available
the NHVR has not been sent the relevant information.
Defect notices issued by the following issuing authorities are visible:
NHVR
State or territory transport authorities (excluding Western Australia and Northern Territory).
Why is the same defect notice showing multiple times?
When a defect notice is issued for multiple defects on the one notice, each defect will appear as an individual line in the Compliance Module. You can easily confirm this, by checking that the defect notice number is the same.
How do I print a defect notice?
This function is not currently available however, you can export the information to a .csv or .xlsx file via the ‘EXPORT’ icon at the top right of the screen.
How often is the compliance module updated?
The NHVR Portal is updated daily however, defect notice information is received from the relevant issuing agency, which may be delayed.
There is an error or missing information in the defect information
The NHVR Portal receives all defect notice information from the issuing agencies and accordingly is unable to update or rectify this information. If you believe that an error exists or that information is missing, you must contact the issuing agency directly. It is important to keep records of your defect clearances in addition to using the Compliance Module.
Can I clear defects through the portal?
No. Defects must still be cleared through the current processes administered by the relevant state or territory transport authority. The Compliance Module is a tool to view defects issued to heavy vehicles. How will I know if a defect has been cleared?
Cleared defect notices are marked ‘C’ in the code section to indicate they have been cleared. Current (uncleared) defect notices are marked ‘O’ for open. Other codes may be displayed depending on the issuing agency. If you are unsure what these codes mean contact the issuing agency of the defect.
Please note: Due to variations in processing times by the respective issuing agencies, a cleared defect may not be updated in the NHVR Portal straight away.
Will historical defect notices be visible?
Yes - if historical defect data is available to the NHVR, it will be available in the Compliance Module.
